Intelligent Email Classifier and Order Extraction
Shared mailboxes overloaded with no triage.
Logistics operations receive hundreds of emails every day from users, customers and partners (new requests, customs documentation, airline invoices or incidents). The team's manual opening and **classification of every email** caused serious delays in handling urgent orders and an unsustainable administrative workload.
Proactive monitoring and automated triage.
Design of an intelligent agent that scans Outlook mailboxes every 5 minutes. The system reads and **automatically classifies the intent of each email**. If it detects transport documentation or priority orders, it immediately extracts the critical data using OCR and creates the record in Microsoft Dataverse to trigger the actions in the operational ERP.
Measurable Impact
The engineering behind the impact
Lexical Processing and Computer Vision
A dual system to assess intent and extract non-standardized logistics forms:
- Intent Analysis (NLP): Evaluation of the sender, subject and body to tag urgency.
- High-precision OCR: Attachment segmentation to extract references, origin/destination airports, weights and committed dates.
Data Sources
- - Outlook MIME messages.
- - Delivery notes and customs documentation.
- - Loading order PDFs.
- - AWB (Air Waybills).
Orchestrated Multi-Cloud Architecture
A scheduled CRON in AWS EventBridge triggers an AWS Lambda function every 5 minutes. It connects to the corporate mailbox through Azure App Registration and Graph API with secure delegated permissions. Once the document has been processed and extracted via OCR, we inject the key data into Microsoft Dataverse for teams to use via Power Apps.
Want to end the chaos in your team's shared mailboxes?
We eliminate manual triage and wasted time. We audit your operational mailboxes to deploy a classifier agent that identifies intents, extracts data on the fly and orchestrates processes in your ERP with no human intervention.
